You’ll be juggling multiple priorities, managing tight deadlines, and dealing with unexpected issues that require quick thinking and clear communication. It can be fast-paced and occasionally stressful. If you’re someone who thrives in a structured environment, enjoys solving problems, and takes pride in keeping things running smoothly, you might be exactly who we’re looking for.

What will you be doing?

As a Fleet Officer, you’ll be the go-to person for everything related to our company vehicles. You’ll work closely with colleagues, leasing partners, and suppliers to ensure our fleet runs like a well-oiled machine.

  • Coordinating the car selection and ordering process: from requesting quotes to placing orders and updating our systems.
  • Managing incoming invoices and ensuring everything is processed accurately and on time.
  • Creating clear, insightful reports on fleet costs, sustainability, HR data, and mobility budgets.
  • Overseeing the home charging process: from device distribution to installation follow-up and troubleshooting.
  • Acting as the central contact for leasing companies, dealers, insurers, and body shops.
  • Keeping a close eye on data quality and making sure our internal fleet documentation is always up to date.

Who are we?

We’re the Fleet & Facilities team, a close-knit group of 12 enthusiastic colleagues with wide-ranging responsibilities. Our 7 receptionists are responsible for the front desks of the offices. Under the leadership of the Fleet & Facilities Manager, two fleet specialists manage the delaware car and bike park, one colleague is prevention officer and another colleague takes care of all technical functionalities.

Just so you know: delaware has its offices in Antwerp, Ghent, Kortrijk, Lummen, Liège, Wavre and Sanem (Luxembourg).

Is there a match?

  • You’re confident with MS Office, especially Excel - do you know your way around pivot tables and formulas? Even better! 
  • You have experience with S4 Hana and XPO Fleet, or you’re eager to learn quickly.
  • You’re comfortable working with data, systems, and reporting tools.
  • You’re highly organized and are stress-resistant, even when things get hectic.
  • You’re solution-oriented and don’t shy away from taking initiative.
  • You can work independently, but you also enjoy being part of a team.
  • You’re fluent in Dutch, English & French is a plus
