Every day, the Brussels Intercommunal Transport Company (STIB-MIVB) safely transports more than one million people to their destinations. This important and complex task would not be possible without the skills and commitment of more than 10,000 professionals, supported by advanced technology. To keep pace with changing needs and expectations, STIB-MIVB embarked on a comprehensive digital transformation journey with delaware. The first stop: a thorough update of STIB-MIVB’s HR platform, focusing on its learning and recruiting processes.

The challenge: Finding and training tomorrow’s staff  

STIB-MIVB's day-to-day operations require not only a solid infrastructure and smooth operations, but also talented and motivated people. Hence the importance of effective human resources management. "Our HR team is responsible for ensuring a steady flow of new talent and for providing the right training to everyone at STIB-MIVB," says HR director Sébastien Libert. "In the past, we relied on a customized, on-premise HR tool. When the solution reached end-of-life, we started looking for an alternative." 

STIB-MIVB had a pretty clear idea of what they wanted: a cloud-based tool with built-in best practices. The tool had to simplify recruiting and guarantee uniform transparent training processes.

 

"Recruitment has long involved a lot of administration, which has distracted our people from the core of their job: hiring the best people, onboarding them and helping them to reach their full potential," continues Sébastian. "With more than 300 different roles and responsibilities, paired with multiple schools and academies that each use their own tools, managing training was a complex task. Standardizing our training approach would make things much more manageable, while providing insight into STIB-MIVB's real training needs. Lastlylearning and training at STIB-MIVB are compliance-driven, with mandatory training, certificates and reporting. A centralized training tool would also make it easier to collect training data and share it."

The solution: Crucial factors for HR success  

Mapping these needs and requirements to available market technology solutions led STIB-MIVB to choose SAP SuccessFactor Learning Management System (LMS). After a public tender, delaware was selected as the implementation partner.  

Sébastien: "Many of the standard features in SuccessFactors LMS directly address our main challenges. The use of curricula and competencies, for example, allows us to accurately track the training status, activities, and certificates and identify the skills that need updating. Thanks to the online training capabilities, we can offer employees a convenient, seamless and richer learning experience."

The SuccessFactors Connector ensured a smooth transition to the new system, with minimal disruptions and the retention of historical records and employee information. Pauline Engelbert, senior HRIS consultant at delaware, adds: "Integration with SAP was critical for transmitting the training course history and training sessions. Thanks to this synchronization, the HR team has an accurate overview of all training activities and employee learning journeys. This greatly enhances the effectiveness of competence management."

 

"Lastly, Integration Center, an addition to SuccessFactors LMS, improves data management by refining the transfer of employee data from the employee profile to the LMS. This way, the system contains accurate and up-to-date employee information."

The process: The road to HR greatness  

delaware was able to guide STIB-MIVB's HR organization towards a new way of working. "The new tool is quintessential to reshape recruiting and learning, but real and effective change requires the trust and cooperation of everyone involved,"  continues Pauline. "That's why we have also put a lot of effort into change management, by organizing training and testing sessions with key users.

The project team first received training on the standard SuccessFactors LMS solution. delaware and STIB-MIVB then set up deep dives to guide configuration decisions. User acceptance tests during the development phase and intensive, two-week collaboration sessions after the deployment helped validate the system’s usability, performance and functionality.

In addition, the consultants collaborated with the Lerian language school to incorporate language test results into the LMS. Since language skills are prerequisite for certain roles at STIB-MIVBthis feature is very important for us."
