Challenge

Medivet faced significant data fragmentation and reporting challenges across its 450 clinics:

  • Fragmented reporting: Teams wasted time debating figures due to multiple KPI definitions and conflicting data sources, leaving much of the data's potential unused.

  • High-cost, low-value reports: Medivet maintained a set of legacy reports with an annual price tag of €1.2 million. These reports were inaccessible to end users and, consequently, rarely used.

  • Legacy system complexity: An ageing, two-decade-old Patient Management System had a structure so complex it required specialist industry knowledge just to interpret the data.

With Delaware's guidance, Medivet established clear project goals:

  1. Establish a single source of truth and a controlled set of performance dashboards.

  2. Equip end users (especially clinic staff) with powerful dashboards to directly drive performance, efficiency, and client satisfaction.

Solution

If you've ever wrestled with conflicting data or struggled to trust your reports, you know the frustration Medivet faced.

Delaware solved this costly problem by implementing a unified Enterprise Data Warehouse and Microsoft Power BI reporting system. This transformation went beyond new software - it was about resolving data fragmentation.

The solution immediately created a 'single version of the truth,' ending the internal debates over figures. Every team now relies on one consistent set of organisation-wide KPIs.

By establishing a trusted foundation, Medivet moved beyond arguing about the numbers to effectively acting on reliable data.

  • One data source: a central data platform, built with Microsoft Azure tools, to replace fragmented systems and a costly legacy solution.
  • Standardised KPIs: close collaboration with the Finance, Operations, Marketing, and IT teams ensured that everyone was aligned on a single, consistent set of Key Performance Indicators (KPIs).

Here's how we did it:

Assess & align

Delaware assessed Medivet’s existing IT landscape, including the in-house Patient Management System, to understand complexities and potential risks. KPI definitions were agreed upon before building data models, ensuring all departments were aligned from the start.

Build & implement

Delaware implemented a solution while preserving existing knowledge. We built an Enterprise Data Warehouse and Power BI dashboards on Microsoft Azure, leveraging Medivet’s technical and business expertise for a smooth transition.

Training & expansion

To maximise engagement and ensure long-term functionality, Delaware developed and delivered custom training sessions for various end-user groups. This proactive measure facilitated quick adoption and strong stakeholder buy-in. Following a successful initial launch in the UK, the system was strategically expanded across Medivet's operations in Germany, France, and Spain.

Results

The new system delivered immediate results, bringing clarity, consistency, and trust back to Medivet’s data. With a single source of truth, teams know exactly where to find accurate data. KPI disputes ended, allowing staff to focus on improving performance and client satisfaction. Crucially, replacing third-party legacy reports saved €1.2 million annually and increased the accessibility of crucial insights.

High user adoption and impact

User adoption was exceptional, spanning clinics, regional teams, and even individual pet owners, quickly making the organisation more data-savvy than ever.

Clinics gained the power to act on their own data, drilling down into metrics like revenue and client numbers to identify areas needing attention. This adoption was so high that system capacity had to be expanded - a clear demonstration of how data became a powerful, everyday tool across the organisation. Thanks to the scalability of the Microsoft Azure platform, Medivet could seamlessly handle the increased demand.

Medivet & Delaware

The main reason this project succeeded was partnership, not a transaction.

Medivet's collaboration with Delaware was built on trust, a pragmatic approach, and a shared commitment to long-term success, avoiding the common pitfalls of a simple supplier relationship.

This was a true blending of skills, where Delaware’s strong technical know-how in Microsoft solutions met Medivet’s crucial veterinary and business expertise. That effective, cross-departmental collaboration was the key ingredient that ensured everyone in the business genuinely benefited from the project's success.
