Your ability to troubleshoot and and understanding enable you to analyze and resolve issues in no time. In fact, as you think in solutions, you don’t really see problems. You spend your time and energy finding and acting upon solutions in a hands-on way.

Considering your effective planning and organizing skills, you enjoy working in a dynamic work environment where no two days are alike. You know the job of a Facility Administrator is multifaceted and therefore quite challenging, but you get energized from keeping several balls in the air.

What will you be doing?

  • Monitor and ensure data quality in fleet systems
  • Handle ad hoc fleet related questions
  • Process incoming invoices for Fleet & Facility activities
  • You provide hands-on assistance to help maintain a productive and comfortable environment and ensure smooth day-to-day operation of our organization. Specifically, you provide support for our colleagues on the facility team, and you frequently coordinate with the receptionists of the different offices.
  • Together with the facility team, you’ll draft budgets for facility activities on a monthly, quarterly, and annual basis. You’ll be the go-to person for advice and updates on budget flows, as well as reporting and forecasting.
  • You’ll be responsible for the detailed registration of expenditure. This includes creating clear graphs, analysis, and comparisons with previous years, and creating awareness of cost components.
  • Record and follow up on agreements and contracts with our different providers.

Who are we?

We’re the Fleet & Facilities team, a close-knit group of 12 enthousiastic colleagues with wide-ranging responsibilities. Our 7 receptionists are responsbile for the front desks of the offices. Under the leadership of the Fleet & Facilities Manager, two fleet specialists manage the delaware car and bike park, one colleague is prevention officer and another colleague takes care of all technical functionalities.

Just so you know: delaware has its offices in Antwerp, Ghent, Kortrijk, Lummen, Liège, Wavre and Sanem (Luxembourg).

Is there a match?

  • Minimum 3 years of experience in a similar role. 
  • Skills with MS Office, especially Excel. Experience with ERP systems like S4 Hana and fleet tools such as XPO Fleet is a plus.
  • Excellent planning, organizational, and problem-solving skills.
  • A proactive, solution-oriented mindset; you see opportunities where others see problems.
  • Able to work independently and take ownership, while also being a team player. 
  • Strong communication skills in English and Dutch, French is a plus.
