Financial Administrative Marketing Assistant

As a financial administrative assistant on delaware’s Marketing & Communication team, you will be a vital link in the financial management of delaware’s marketing activities.

Drawing up and monitoring budgets, managing purchase orders (POs), coordinating marketing expenses, and ensuring accurate financial records are all key tasks that contribute to smooth operations. Additionally, you will support the team with administrative follow-up.

What will you be doing as a Financial Administrative Marketing Assistant?

  • Together with the marketing team, you’ll draft budgets for marketing activities on a monthly, quarterly, and annual basis. You’ll be the go-to person for advice and updates on budget flows, as well as interim reporting and forecasting;
  • You’ll be responsible for the detailed registration of marketing expenditures per domain and industry. This includes creating clear graphs, analysis, and comparisons with previous years, and creating awareness of cost components;
  • Prepare and manage POs (purchase orders) and GRs (goods receipts) for marketing activities, including campaigns, printing, copywriting, etc.;
  • Submit MDF-requests (Marketing Development Fund) to partners and collect necessary information for the marketing team, including the preparation of detailed documentation for claim substantiation and raising invoices;
  • Record and follow up on agreements and sponsorship contracts, forward logos and text, reserve materials, take care of logistics and catering for events, etc.;
  • Maintain close contact with the marketing team and other colleagues to create a link between costs and actions, e.g. meet with accounting to discuss progress;
  • Book meetings, manage devices and promotional materials.

  • Have strong interpersonal skills for effective communication with the team;
  • Are well organized and able to multitask in order to manage and hit deadlines;
  • Have a minimum of two years of experience in a similar role;
  • Are you fluent in Dutch and English, with French as a plus;
